Privacy policy
FastAssets is the internal warehouse application of El-Seif Operations & Maintenance (“ESOM”, “we”). Staff use it to scan stock, issue goods with Goods Issuance Notes (GINs) and keep the item master. This policy explains what information the app handles, why, and the choices you have. The app is for ESOM staff only; accounts are created by our administrators.
Who is responsible
El-Seif Operations & Maintenance is responsible for the information processed in FastAssets. Contact: your ESOM administrator (see Contact us).
Information we process
- Account details — your name, Employee ID, role, optional work email, the projects you may work on, and your password. Passwords are stored only as a one-way hash; nobody, including administrators, can read them.
- Work records — GINs you create (number, date, project, GL / CBS code, MR reference, items and quantities), changes you make to items, projects and codes, and who made them.
- Signatures — when a GIN is signed on the device, the signature drawn on the screen is saved as an image with the signer's name and the time, and printed on that GIN.
- Technical data — when you sign in we record the time, your IP address and the browser / app identifier to keep your session secure; the server keeps standard error and access logs.
We do not collect your location, contacts, photos or files, and the app contains no advertising and no third-party analytics or tracking.
Device permissions (Android app)
- Camera — only to read barcodes and QR codes while the scanner is open. Camera images are processed on the device and are not stored or uploaded.
- Internet and network state — to talk to the ESOM server and to know when you are offline.
- Vibration — a short buzz when a scan succeeds.
How we use it
Only to run the warehouse: sign you in, record and print GINs, keep stock and cost records per project, show who did what for accountability and audit, and keep the system secure. We do not sell or rent information, and we do not use it for marketing.
Where it is stored and who can see it
- Data is stored on ESOM's own server and sent over encrypted connections (HTTPS).
- The Android app keeps a copy of the item list, projects, codes and your recent GINs on the device so that scanning works offline, plus a sign-in token (not your password). Signing out removes your session from the device.
- Inside ESOM, information is visible according to role (storekeeper, stores supervisor, warehouse manager, administrator) and allowed projects.
- If the company switches email on, notifications (for example “GIN issued”) are sent through the company's email service (Microsoft 365 or the company mail server).
- We share information outside ESOM only when the law requires it.
How long we keep it
Account details are kept while you have an account. GINs, signatures and stock records are business and accounting records and are kept for as long as the law and company policy require. Sign-in sessions expire automatically; server logs are kept for a limited time for security.
Security
Encrypted connections, hashed passwords, encrypted storage of system secrets, role-based access, rate limits on sign-in, and regular backups protect the data. No system is perfectly secure; please keep your password private and tell us if you think your account was misused.
Your choices and rights
- Ask to see or correct the personal details we hold about you.
- Ask to have your account deleted — see Delete your account and data.
- You can withdraw the camera permission at any time in Android settings; you can then type codes instead of scanning.
Children
FastAssets is a workplace app for ESOM employees and is not meant for anyone under 18.
